What we collect

When you submit a quote or contact form, we collect the details you provide — name, company, location, email, phone, and the specifics of your tote request. We do not require a phone call to do business.

How we use it

Solely to respond to your inquiry, prepare quotes, arrange logistics, and keep records of our transactions. We communicate primarily by email.

How it's shared

Form submissions are processed through our lead-management provider to route your request to our team. We do not sell your personal information to third parties.

Cookies & analytics

This site is built to run lean. We avoid unnecessary third-party trackers and keep client-side scripting to what the experience needs.

Your choices

You can request access to, correction of, or deletion of the information you've shared by emailing info@ibctotessolutions.com.

Information we collect in detail

We keep data collection deliberately narrow. In practice, the information we hold falls into a few clear categories:

  • Information you give us. Your name, company, service address or region, email, phone number, and the details of your request — tote grade, quantity, prior contents, timelines, and any notes you add to a quote or contact form.
  • Transaction records. If we do business together, we retain the quotes, orders, invoices, and correspondence needed to fulfill the order and meet our tax and recordkeeping obligations.
  • Technical information. Standard server logs and privacy-respecting analytics may record your approximate location, device and browser type, referring page, and the pages you view, so we can keep the site working and understand which guides are useful.

We do not knowingly collect sensitive categories of data, and we ask that you not include them in free-text form fields.

Why we use your information

We process your information only for defined, legitimate purposes:

  • To respond to your inquiry and prepare an accurate quote.
  • To arrange reconditioning, transport, pickups, and delivery.
  • To manage orders, payment, and after-sale support.
  • To keep records required for accounting, warranty, and compliance.
  • To maintain, secure, and improve the website and its content.
  • To send you information you have specifically asked to receive, such as inventory or guide updates.

Lawful basis for processing

Where a lawful basis is required, we rely on the following: performance of a contract, or steps taken at your request before entering a contract, when you ask us for a quote or place an order; our legitimate interests in running, securing, and improving our business, balanced against your rights; compliance with a legal obligation for records we must keep; and your consent for anything optional, such as marketing updates, which you may withdraw at any time.

How long we keep it

We retain personal information only for as long as it serves the purpose it was collected for. Quote and inquiry data that does not become an order is kept for a limited period and then deleted or anonymized. Records tied to a completed transaction are retained for the period required by applicable tax, accounting, and warranty rules, after which they are securely disposed of.

Sharing & service providers

We do not sell or rent your personal information. We share it only where necessary to run our business, and only with parties bound to protect it:

  • Lead-management and form processing providers that route and store your submissions.
  • Freight, logistics, and reconditioning partners who need delivery or service details to complete your order.
  • Hosting, email, and analytics providers that operate the underlying infrastructure.
  • Professional advisers and authorities where we are legally required to disclose information, or to protect our rights, property, or safety.

These processors act on our instructions and are not permitted to use your information for their own marketing.

Cookies, analytics & PostHog

We keep client-side scripting light and avoid unnecessary advertising trackers. We may use privacy-respecting product analytics, including PostHog, to understand how the site is used in aggregate — which pages and guides are visited, and where the experience can be improved. This may involve cookies or similar storage and a limited amount of usage data. We do not use this data to build advertising profiles or to sell audiences. Most browsers let you block or delete cookies through their settings; doing so should not prevent you from requesting a quote by email.

How we protect your information

We apply reasonable technical and organizational safeguards — encrypted connections for the website, access controls, and limiting who on our team can see your data — to guard against loss, misuse, and unauthorized access. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security, but we work to keep the risk low and to respond promptly if an issue arises.

Your privacy rights

Depending on where you live, you may have the right to access the personal information we hold about you, to correct inaccuracies, to request deletion, to object to or restrict certain processing, to receive a copy of your data in a portable format, and to opt out of the sale or sharing of personal information. Because we do not sell personal information, there is nothing to opt out of on that front. To exercise any right, email info@ibctotessolutions.com. We will not discriminate against you for exercising these rights, and we will verify your identity before acting on a request.

California residents (CCPA/CPRA)

If you are a California resident, you may request the categories and specific pieces of personal information we have collected, the sources, the business purposes for collecting it, and the categories of third parties with whom we share it. You may also request deletion or correction. We do not sell or share personal information as those terms are defined under California law. You may submit a request yourself or through an authorized agent by emailing us at the address above.

Children's privacy

Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children under 16. If you believe a child has provided us information, contact us and we will delete it.

International visitors

We operate from Ohio in the United States, and any information you submit is processed here. If you access the site from outside the United States, you understand that your information will be transferred to and handled in the United States.

Changes to this policy

We may update this policy as our practices, providers, or the law change. When we do, we revise the page rather than leaving outdated statements in place. Material changes will be reflected here, and your continued use of the site after an update means you accept the revised policy.
